Draft – hosting details still pending

Before publication, we will complete the actual server location, the scope and retention periods of server logs, and any additional operational service providers. This text describes the current User-Docs setup and is not yet the final privacy notice for the published service.

Scope and controller

This notice covers the public octopancy user manual. The application and other linked websites have their own privacy notices.

The controller is Xsigns GmbH & Co. KG, Clärenore-Stinnes-Straße 15, 27283 Verden (Aller), Germany. For privacy enquiries, contact info@xsigns.de or +49 4231 9033900. Further company details are in the legal notice.

Delivery and hosting

We operate the documentation on our own servers hosted at Hetzner. The hosting provider is Hetzner Online GmbH, Industriestr. 25, 91710 Gunzenhausen, Germany. This company address does not establish the location of the server, which still needs to be confirmed.

When you request a page, the server receives the connection data needed to respond, including your IP address, the requested address and request information sent by your browser. Processing these data makes it possible to deliver the page. The legal basis is Article 6(1)(f) GDPR; our legitimate interest is the reliable and secure provision of this user manual. The page cannot be delivered without the necessary connection data.

Still to be completed: The access and error logs used in production, who can access them and when they are deleted. The server location, any transfers outside the EEA and Hetzner's specific role as a processor must also be confirmed before publication.

Search and browser preferences

Search runs locally in your browser. Search terms are not sent to an external search provider. The search index is loaded from our website.

Your browser remembers the selected light or dark appearance and the search result display in local website storage. The last search term is kept in the tab's session storage so that it remains available when you reopen search. These values support the appearance and search functions you use. They are not used for visitor analytics.

Local preferences remain until you delete the website data. Session storage belongs to the browser tab session; restoring a browser session may restore these data too. You can delete both using your browser's website data settings. Default preferences will then apply. The legal assessment of necessary browser storage under section 25(2)(2) TDDDG must be completed before publication.

The User-Docs currently include no analytics or advertising services. Images, font files and the search index are delivered with the documentation. Opening an external link connects your browser to that website, whose operator's privacy notice then applies.

Contact by email

If you email us, we process your email address and the information you provide to handle your enquiry. The legal basis is Article 6(1)(b) GDPR for contract-related enquiries, or Article 6(1)(f) GDPR based on our interest in answering other enquiries.

Data are deleted when the enquiry has been dealt with and they are no longer needed, unless statutory retention obligations apply. The email service providers actually used must be added before publication.

Your rights

Subject to the conditions of the GDPR, you have rights of access, rectification, erasure, restriction of processing and data portability. Where processing relies on consent, you can withdraw that consent for the future.

Where processing relies on legitimate interests, you may object on grounds relating to your particular situation. Contact us using the details above.

You may lodge a complaint with a data protection supervisory authority, particularly in the member state of your habitual residence, workplace or the alleged infringement. The authority responsible for our registered office is the State Commissioner for Data Protection of Lower Saxony.

The User-Docs do not use automated decision-making or profiling.
